Documentation & Customs Declaration Staff

Job Description

  • Receive and verify shipment information provided by customers; review related documents such as Contracts, Invoices, and Packing Lists.
  • Prepare complete documentation sets for import and export shipments in compliance with applicable regulations, including HS Codes, tax rates, and specialized procedures.
  • Perform customs declarations using the relevant software systems.
  • Coordinate with transportation providers and warehouse teams to arrange cargo delivery in accordance with schedules and requirements.
  • Monitor shipment progress and update cargo status from initiation to completion.
  • Supervise packaging and labeling conditions for import and export goods.
  • Identify potential risks associated with specific or specialized cargo categories.
  • Update shipment-related costs in the system for each consignment.
  • Review accounts payable statements from service providers and suppliers.
  • Anticipate potential disruptions related to transportation capacity or port conditions and propose proactive solutions.
  • Keep updated on changes in procedures or new requirements from carriers, port authorities, and relevant regulatory bodies.
  • Maintain and archive import–export documentation and related records.
  • Propose improvements and streamlined workflows to enhance departmental efficiency.

Job Requirements

  • College or university degree in Import–Export, International Business, Logistics, or related fields.
  • At least 2 years of experience working in a customs brokerage or customs clearance service company.
  • Strong ability to organize and perform import–export customs declaration procedures.
  • Knowledge and experience related to rules of origin is an advantage.
  • Proficient in Microsoft Office; good English reading comprehension and communication skills.
  • Personal qualities: proactive, cooperative, and responsible at work.
